Managed Onboarding Model

Talkloop combines self-service tools with guided support. Some features are self-managed in the Admin Portal, while others are configured or assisted by your dedicated Account Manager.

Getting Started

Set up your account and make your first call

Talkloop does not offer self-signup at this time.

How onboarding works:

1Fill out the Get Started form on the Talkloop website
2A Talkloop sales representative contacts you
3Your requirements, plan, and numbers are finalized
4Talkloop creates your account and assigns phone numbers
5You receive access to the Talkloop Admin Portal

Once setup is complete, you can start making and receiving calls immediately.

Phone numbers are assigned by Talkloop during onboarding.

Your Account Manager will:

Assign local or toll-free numbers
Configure inbound routing (DIDs)
Connect numbers to users, IVR, or call queues

All assigned numbers appear in your Admin Portal.

After setup:

Make calls using desk phones, mobile apps, or desktop apps
Receive calls based on configured routing
Missed calls follow voicemail or call rules

If changes are needed, you can update supported settings or contact your Account Manager.

Supported Hardware & Devices

Compatible phones and calling devices

Talkloop works with a wide range of IP phones and calling devices that support SIP configuration.

For the best experience, Talkloop recommends Poly (Polycom) IP phones. Poly devices are reliable, widely supported, and integrate smoothly with Talkloop.

Talkloop is not limited to one brand. Any device that:

Supports SIP-based configuration
Can connect to the internet
Allows manual SIP credential setup

can be used with Talkloop.

1Choose a compatible SIP-based IP phone
2Your Account Manager provides SIP credentials
3Configure the device using the provided details
4Connect the device to the internet
5Start making and receiving calls

Talkloop can assist with device setup and testing if needed.

A physical phone is not required. You can also use:

Desktop calling app
Mobile calling app

Ideal for remote and hybrid teams.

Account & Settings

Manage basic account preferences

Account and company details are managed with Talkloop's assistance.

For updates such as:

Company information
Contact details
Account preferences

Contact your Account Manager.

Password changes and resets are handled securely.

To update your password:

1Contact Talkloop Support or your Account Manager
2Follow the secure instructions provided

Team Management

Add users and organize your team

Users are created by Talkloop to ensure proper setup.

Your Account Manager will:

Create user accounts
Assign extensions
Connect users to phone numbers or queues

User roles and permissions are managed centrally.

To update permissions:

1Contact your Account Manager
2Changes are applied securely

Departments and groups help organize call handling. These can be managed directly by you in the Admin Portal.

You can create:

Ring Groups
Call Queues
Department-based routing

How to do it:

1Log in to the Talkloop Admin Portal
2Go to Phone System then Ring Groups or Call Queues
3Create a new group or queue
4Assign users and routing rules
5Save changes

Your Account Manager can assist anytime.

Billing & Plans

Manage subscriptions, payments, and invoices

Invoices may include:

Your selected plan
User limits
Add-ons such as business texting, faxing, or call center features

Talkloop uses Stripe for secure billing.

You can manage yourself:

View invoices
Download receipts
Update payment methods

How to access:

1Log in to the Admin Portal
2Go to Billing
3You'll be redirected to Stripe's secure billing interface

For billing questions, contact your Account Manager.

If your needs change:

1Contact your Account Manager
2We'll recommend the right plan
3Upgrades or downgrades are handled for you

Call Features

Learn about calling capabilities

Call queues allow callers to wait until an agent is available.

You can:

Create and manage queues in the Admin Portal
Assign agents
Adjust routing rules

IVR routes callers using menu options.

IVR options:

Upload your own recorded greeting
Request a free IVR recording from Talkloop, then upload it yourself

Managing IVR:

1Go to Admin Portal then IVR Flows
2Upload your recording
3Configure menu options
4Activate the IVR

If enabled on your plan:

Calls are recorded securely
Recordings are available in the Admin Portal

Recording rules are configured during setup or upon request.

Business Texting (SMS)

Send and receive SMS with your business number

Business texting allows you to send and receive SMS using your Talkloop number.

Before SMS can be activated, you must complete:

Toll-Free Number (TFN) Verification, or
10DLC Registration (for local numbers)

These steps are required by mobile carriers.

1Request business texting from your Account Manager
2Talkloop assists with TFN or 10DLC verification
3Carrier approval is completed
4SMS is enabled on your number

Note: SMS cannot be used until verification is approved.

Faxing

Digital faxing capabilities

Talkloop provides digital faxing as an optional add-on.

You receive access to a fax portal
Send and receive faxes digitally
No physical fax machine required
1Request faxing from your Account Manager
2Faxing is enabled on your account
3Access the fax portal
4Start sending and receiving faxes securely

Faxing may require an additional fee depending on your plan.
